Troubleshooting Tips for Printers

Reboot your computer. This generally solves most printing problems.

If it's not printing, or you're getting a message about the Fax printer, change your default
printer: Click on Start -> Devices and Printers, right-click the printer, and then select (left-click)
Set as Default Printer.
Check and make sure all connections going to and coming from the printer are firmly in place.
Check that the printer is on-line:
Print a test page. If that prints and the application you are using doesn't, you probably will
need to contact the application's vendor for support.
Turn off your printer for 10 seconds and turn it back on. Make a note of any error messages or
flashing lights when the printer is turned back on.
If your printer is connected directly to another computer, try rebooting that computer.
You may try to uninstall and then re-install your network printer.
Uninstalling and Re-installing a network printer:
To uninstall:
 1. Click on Start -> Devices and Printers -> right-click the network printer that you would
like to uninstall.
 2. Then click on Remove Device.
To re-install:
 1. Click on Start -> All Programs -> NUSNET -> NUSNET Network Printer Selection.
 2. Select the network printer, then click on Connect.
 3. Print a test page to verify.

Basic Printer Display Errors

Most networked printers will have a display that will tell you its status.

No Display
Turn the printer on.

Offline
Press the Go or Online button. If this does not change the printer display to Online: Power the
printer off for 1 minute and then turn it back on.

Paper Jam
Open the doors and remove any paper, being careful not to tear it and lose pieces inside.
Paper may also be lodged under the toner cartridge so you may have to pull it out. If you
believe you have removed the paper but the display still says Paper Jam, power the printer off
for 1 minute and turn it back on.
If the jam is severe, contact the printer vendor for their expertise to rectify the problem.

Processing Job
If the printer displays Processing Job but nothing is printing the job may just be really large and
taking a while to print.
If it has not printed after 5 minutes, press the Cancel Job button on the printer. If the job will
not cancel, power the printer off for 1 minute and turn it back on.

IO or Other Error
Most IO errors will be cleared by powering the printer off for 1 minute and turning it back on.
You may also need to check to make sure the network cable on the printer is plugged securely
into the printer and into the network jack on the wall.

Tray Empty
Add paper to the appropriate tray.

Flashing Lights
Some printers will have flashing light codes to tell you what is wrong. These differ from
manufacturer to manufacturer and also from model to model. Consult your manual or
manufacturer's web site.

No Error on the Printer Display
If the printer display says Ready or Power Save but you are still unable to print, there are
other troubleshooting steps.

Work Offline/Pause Printing
Click on Start -> Devices and Printers, double-click the printer. Make sure Use Printer Offline
or Pause Printing are NOT selected. If either is checked, click it to remove the check. If the
print job does not print, reboot your PC. When you log back in, try to print again.

Cable Connections
Check to make sure all cables are connected securely. This includes the power cable,
connections from your PC to the printer (for a local printer) and connections from the printer
to the network jack in the wall (network printers.) Sometimes they look like they're plugged
in all the way when they're not. To be safe, unplug the cable and plug it back in, especially
the network cable.

Printer Drivers
In the case of local printers, sometimes a driver can become corrupted. Please try
downloading the newest driver from your manufacturer's web site and reinstall the printer.

Software vs. Document/File Problems
Sometimes, the problem printing is related to one particular software package or a certain file.
Try printing from another application such as Word, Outlook, Excel, etc. If you can't print from
any other applications, reboot your PC and check the printer for any error messages. If you
can print from another application, it could be a problem with the application itself or there
could be something wrong with the file you are working on.
Try opening a new, blank document, typing in a few words and try to print the new document.
If it prints, there is something wrong with your file. If it doesn't print, reboot your PC and try
printing again. If it still doesn't print, try reinstalling the application.

Deleting Stuck Print Jobs
Sometimes print jobs may get stuck in the queue and will need to be deleted before
anyone else can print.
To delete a print job, press the Cancel button on the printer.
You can also delete your own jobs by clicking Click on Start -> Devices and Printers, doubleclicking
the printer and deleting the job from the list.
If you are having a problem deleting a print job, please contact NUS IT Care. The printer may
need to be powered off for 1 minute to clear out its internal memory.

The browser’s homepage suddenly changed

This is a common symptom that a virus or browser hijacker may have infected the computer.
 Try re-setting the home page to the default:
o In Internet Explorer:
 On the Tools menu, click Internet Options.
 Click the General tab.
 In the Address box, type the Web address you want for your home page.
 Click OK.
o In Mozilla Foxfire:
 Open the web site you want to set as your home page.
 Click the icon to the left of the web address and drag it to the Home button.
 Click Yes.
 If the home page still reverts back to the “new” page, do an Internet search using keywords that include the name of the “new” homepage and the word “virus.” If there is a virus, this search may reveal more information on the virus and how it can be safely removed.
 Run a virus scan

The computer is slow

Restart your computer.
Verify that there is at least 200-500 MB of free hard drive space. To do so, select Start and click on My Computer or Computer. Then highlight the local C drive by clicking on it once. Select the Properties button at the top left-hand corner of the window; this will display a window showing how much free and used space you have. If you need to recapture space:
 Empty your recycle bin by right-clicking on the Recycle Bin icon (usually on the desktop), then selecting Empty Recycle Bin.
Check your mail files. Remove any large attachments and delete unused mail.
 Images and videos take up a lot of space, so consider moving those to an external drive.
- Remove temporary files from the Internet. To do so:
o Click Start button | My Computer or Computer.
o Click Open Control Panel at the top of the window.
o Click Network | Internet |Internet Options.
o Select the General tab and click Delete under Browsing History.
Perform a disk cleanup. To do so:
o Click Start button | My Computer or Computer.
o Highlight the local C drive by clicking on it once.
o Select the properties button at the top left of the window.
o Go to the General tab and select Disk Cleanup.
o Once the Disk Cleanup finishes running, click on Clean up System Files; this will delete any unnecessary system-related files from your local disk.
 Information in computer files changes often, resulting in gaps or spaces within the file. This takes up more space on the computer and can cause the computer to slow down. To reclaim these gaps in space, run disk defrag. To do so:
o Click start | My Computer or Computer.
o Highlight the local C drive by clicking on it once.
o Select the properties button at the top left of the window.
o Go to the Tools tab and select Run Defragmentation.
Old or unused programs that aren’t being used may still have components running behind the scenes when you start your computer, which can slow down the system. You can prevent these programs from running when you start your computer by removing unused shortcuts and turning off unused program services.
Remove unused shortcuts from Windows startup
o Click Start button | Select All Programs | Click Startup
o Right-click the shortcuts that you do not use and click delete
Disable unused program services
o Click Start button | Control Panel | Administrative Tools | Services
o For each program/service that you are certain that you do not need, click on the Service to highlight it, click the Stop link to stop the service from running, then double-click the service, choose Startup Type of Disabled, and click OK.
Run a virus scan to remove potential viruses that can slow down your computer.

The computer is frozen. A program is not responding

Push the Ctrl, Alt, and Delete keys at the same time. Then, start the Task Manager, highlight the program’s name, and hit the End Task button.
Perform a hard reboot by simply pressing the on/off button to turn off the computer manually. This action should only be done as a last resort if you have an unresponsive program or critical error. This process could cause data loss or corruption.
Once the computer is responding again, run a virus check

The printer is not working

 Check if the printer is turned on. If not, turn it on and try again.
 Check if the printer has paper. If not, put paper in the paper tray and try printing again.
 Check if the printer has a paper jam. If so, remove the paper, close the printer, and try printing again.
 Ensure that all printer cables are properly connected.
 Turn off the printer and turn on again.
 Check to see if a new printer driver is needed. Do this by going to the manufacturer’s website to search for your printer model and checking for any updated driver. Seek assistance from your system administrator before installing any drivers.

Basic Troubleshooting Steps

1. Close open programs and windows you are not currently using.
2. Make sure all of your cords are connected properly.
3. Try to repeat the sequence of commands you performed before the problem occurred. See if this causes the same response by your computer.
4. Press the F1 key to access the Help window. You can search for a solution to your problem once the Help window appears.
5. If there is an error message, record the full message for future reference.
6. Restart your computer to see if it clears the problem. To restart your computer, open the start window and select the Restart button instead of the Log Off button.
7. If restarting the computer does not clear the problem, shut down the computer and then start it back up again.
8. If the issue is still not resolved, check the common technology issues below or call your system administrator.

Backing Up

Backing up your important data on a DVD on a regular basis
means you can walk into any electronics store, walk out with a
cheap new notebook, and be up and running again within a
couple hours. If you run a business, are in the process of writing
a novel, or have other information that you need to back up
every time you use the computer, there are two more choices.

One is to buy a cheap JumpDrive (a USB memory stick with four
or eight GB of storage) and copy your most frequently used data
onto it whenever you’ve made substantial additions. The trick, of
course, is to keep the JumpDrive in your pocket when you aren’t
using it and not the USB port, where it could walk off with the
whole laptop. 
The other option is to sign up with a remote
backup service that uses the Internet combined with software on
your computer to incrementally backup every change you make.
Of course, it means another password to remember and another
monthly bill. The poor man’s version of online backup is to
simply create a free account at Yahoo!, Google Gmail or MSN
Hotmail, and e-mail yourself attachments on a regular basis.

Moving beyond the hardware, the most frequently
encountered laptop problems are due to software. This situation
isn’t unique to laptops, as a profusion of software is equally as
bad for desktop PCs. A huge number of laptops are replaced
because they’ve slowed down so much they’re barely usable.
Laptops don’t get slower with age, the clock that ticks along a
billion or so times a second to drive the digital brain of the
laptop never changes speed. Laptops get slower when they are
overloaded with software or attacked by malicious programs.
The new and often unwanted software gives the laptop more and
more to do until it can barely finish anything.

If your laptop came with a factory rescue DVD or CD, and
it hasn’t gotten scratched up, you can always run the recovery
software to restore the laptop to the exact state it was in when it
was new out of the box. Of course, it didn’t have any of your data
or software on it when it was new out of the box, so you better
have a perfect backup before taking what technicians call the
“nuke and pave” approach.

Things That Go Wrong With Laptops

The main selling point of laptops is that they are portable and can operate on batteries. Not surprisingly, two of the main drawbacks of laptops are that they are portable and can operate on batteries. Portability leads to a whole series of problems that you don’t normally encounter with desktop computers. While the engineers have gotten very good at designing the hinges and the cables that bring signal and power to the LCD screen and backlight in the lid, they are still moving parts. Intermittent problems with notebook screens that seem to come and go at random after you move the laptop are usually related to the opening and the closing of the lid. One time the wire twists the right way, next time the wire twists the wrong way. The wiring bundles are no fun to fix, and doing any repair job on a laptop that requires working with the hinges can lead to wires getting broken or shorted. All this means that if you aren’t going to be carrying your computer from place to place, you’re better off buying a desktop.
Batteries, which make laptops such popular café and classroom accessories, are another Achilles heel that desktops do without. Battery technology has advanced tremendously in
the last 20 years, but the same basic problems still plague all high power battery devices. Battery packs achieve a high enough voltage to operate a notebook computer by including multiple battery cells connected in series. This makes it very difficult for Before We Start Troubleshooting.

If you do spill something on your laptop, the best bet is to hold in the power button (and your breath) for three or five very long seconds to turn it off. The normal human reaction of
pulling the plug after spilling a liquid on electronics doesn’t accomplish much when the battery is installed. After it shuts down, unplug it if it’s plugged in and sop up as much of the
liquid as possible with a paper towel. Once it’s turned off, if you have to turn the laptop upside down to remove the battery, sopping up most of the liquid before it gets past the keyboard membrane is probably a better choice. In any case, when you’ve cleaned it up as good as you can, remove the battery and let the laptop dry out overnight. If it was anything worse than a little splash of water or coffee on the keyboard, remove the keyboard
to check for any signs of wetness underneath before attempting to power it up again. You should find some well illustrated disassembly instructions for your model online.
Leaving laptops in cars is another killer. You don’t want to leave your laptop in a hot car anymore than you want to leave your children or your dog. Well, there are laws against leaving children and dogs in cars, and unless you’re a cloning advocate,
they can’t be backed up. Backing up your laptop is your only defense against all of the awful things that await it in the world.
The only critical component in your laptop when it comes to preserving your data, your programs, your favorite websites and e-mail addresses, is the hard drive. A nasty jolt at the wrong moment, a bad power surge, too much heat or an overturned
cup of coffee can all lead to a hard drive’s premature demise. There are services that can recover most of the data from hard drives that aren’t too badly damaged for a cost between a few hundred and a few thousand dollars, but making it happen in a hurry costs extra.
